Procedure: Recruitment

This procedure will provide you with information on how to start the recruitment process from the very beginning to the final steps of onboarding successful cadidate.

Successful Applicants 

What system do we use to generate Job Offers?

We use indeed platform (designated company profile). You must have a company user profile available, if not, please request this to be generated by your company's administrator. 

 

How do I do this?

  • Login to your indeed profile
  • Navigate to the left side panel where you will see "create new" button then press "job"

You will be able to create new job, or use pre-existing job (select accordingly) and edit the information on the next step. 

Once you complete the job post, it will be active on your indeed portal and visible for the candidates. 

Shortlisting Applicants on Indeed

How do I let an applicant know they have been unsuccessful?

  • Go onto your indeed job post and navigate to left side bar
  • Press "Jobs" then "All Jobs" 

there you will find all the active/closed/paused job listings for the company. Note - you can pause a job if you are reviewing candidates and then reopen it again when needed. Once the applicant is recruited, ensure the job posting gets completely closed so that it does not require further funds for the active posting.

  • Select the job you are currently recruiting (make sure it is for your nursery/your job opening as the portal will list all the jobs for the company as the whole)
  • Review applicants under the job application accordingly (shortlist them on the Indeed platform)
  • Send invitation for an interview to a candidate you have shortlisted. Your Indeed account will allow you do so via the messaging option. Fill information of the interview (location, date, time, interviewer) accordingly. Interviews for the teaching/care personnel must be held in person (face to face) wherever possible. 

In person interview

Stage 1

During the interview, the candidate must complete questionnaire with an interviewer (Manager in charge). Article providing you with interview links can be located here

During the in-person interview the candidate must take part in the practical part of interview where they are placed in the room alongside the senior member of staff (ensure the candidate is never left unsupervised). The senior member of staff will observe the candidates practice and share the notes with the interviewing manager after the completion of the practical trial. 

Stage 2

The interviewing manager must review all candidates after the interviewing process has been complete and contrast and compare the skills, knowledge and the practical side of every individual that has been interviewed for the relevant role. The interviewing manager must then choose the most suitable candidate based on overall information gathered during the interviewing process and inform all of the candidates that have been interviewed accordingly if they have been successful or not. 

Stage 3

Once the suitable candidate have been shortlisted and successfully completed interview process the job offer must be sent via the official email to the candidate stating the below:

Job offer

"Dear [Name of the candidate],

We are happy to announce that you have successfully completed our interview process and based on the review shared and your knowledge and skills we would like to offer you a position of [job role] at [recruiting company's name] at the address [ state the address of the nursery]. 

The benefits and compensation for this role as as follow:

Compensation: [state the salary per annum]

Working hours: [state the hours per week the candidate will be expected to work under the contract]

Annual holiday entitlement: [state the annual entitlement hours the candidate will be entitled for] plus 8 days of National Bank Holidays

This job offer is subject to satisfactory references and clear safer recruitment checks.

Stage 4

Once the applicant accepts the job offer in writing, you can proceed with safer recruitment checks.
